MedTech Europe: two days in Rotterdam, 86 exhibitors and 2,412 visitors. The same event through the eyes of Ilse, who organises it, Marieke, who visits it, and Rasmus, who exhibits. Pick a person to follow their side.

Ilse describes the expo in a few lines: who it is for, what exhibitors want, when and where. She asks the Copilot for a starter page, checks the preview and the cost, and confirms. Then she rewrites a headline right on the page and presses Update live page, with registration built in.

In Event goals, Ilse turns "a good expo" into targets that sales and the exhibitor board agreed on: accepted meetings, leads per exhibitor, check-in rate and exhibitors who would rebook. From now on, every check-in, meeting and lead counts towards them, live.

Marieke buys her ticket, then the Concierge asks three short questions instead of a long form: what would make the expo a success, what she can offer and who would be useful to meet. She checks the summary and edits one line. The conversation stays private. Exhibitors never see it.

Shake-on matches needs with offers, not job titles. Marieke sees why she should meet Jonas, a distributor looking for new suppliers, and that they are both free at 14:30. One tap sends a meeting request. When Jonas accepts, both get a calendar invite with the time and the table.

Ten minutes before the meeting, Marieke's phone shows the way to Table 12. No app to download: the event app opens from her ticket email. After meeting Jonas, it points her to a stand she would have walked past.

At stand B14, Rasmus scans Marieke's ticket with his own phone. The lead arrives with what she is looking for, what she did at the event and whether she opted in to hear from NordReg. He adds a note and a rating while the conversation is fresh.

"So what did we get out of it?" Ilse opens the event report. Every goal sits next to its result, with the meetings that mattered and the survey scores behind it. Each exhibitor gets a one-page results sheet. That is what they rebook on.



Marieke's recap shows who she met and who she missed. Rasmus edits a follow-up draft and sends it, and the lead is already in NordReg's HubSpot. Ilse sees that 212 visitors wanted a distributor while only 64 offered distribution. She duplicates the event for 2027 and starts recruiting distributors.
